roster to iCalendar converter

Since KLM4U email is introduced, some of you can not download the latest rosters from flightweb.org anymore. As of now, it is possible to use the Upload button below on the roster.ino file, which is attached to the e-mail received from carmen@klm.com.

Select if you prefer only the changes since the last roster and not the full roster: (diff).
Select if you prefer only duty time entries, not flight time entries (not available for Trans): (sparse).

What is this for?

This web page enables you to put your roster into your favorite calendar application without having to type it all in by hand. It will download your roster from your company's website and convert it into the iCalendar format, which is readable by electronic devices like computers, PDA's, mobile phones and even some mp3 players. It will e-mail the resulting file, or present a link for download. Alternatively you can upload a file containing your roster from your computer to the 2ical system for conversion. Currently besides KLM rosters, Transavia and Denimair are supported.

How do I use this program?

First you must select the type of roster you would like to convert with the bullet. Then enter your portal login, for example klc12345 for Myklc or 12345 for Flightweb or klm12345 for Cabinet and your password. Enter your e-mail address and click Convert. Your roster and the converted file will be sent to your e-mail address. If the e-mail address is invalid or missing, a link will appear so you can download the file. If you would like to convert a file from your own computer, use the browse and upload buttons in stead.

What do I do with this .ics file?

It depends on the application you use. If you have a Mac, simply double-click on the file. iCal will be started and will show your roster. Don't import it into your existing calendar but keep it as a separate calendar. This will enable you to open a new roster, check for changes and deselect your old roster. This way you don't get double entries because of overlapping time periods.

If you have a PC with Windows, you can not simply double click on the .ics file. Only one item will show up in Outlook. (This bug might be fixed in future versions of Windows/Outlook, please let me know if you find out). You have to start Outlook first and then use the import tool. Depending on your version of Outlook, it might be necessary to install additional import filters first.

Use the Outlook import wizard to copy your roster into your personal calendar using ics. Unfortunately the use of multiple calendars is not very practical in Outlook (This has changed with Outlook2007). To prevent from getting multiple entries due to time overlap you must select `only the changes' (diff option) when you convert your roster. Beware: this method will not delete old entries that have disappeared in your new roster!

With Outlook 2007 it is now possible to use a separate calendar for each roster just like with iCal, in that case you don't need to use the diff option.

If you have an iPod for example, simply putting the file in the right spot will be sufficient. Follow this link for a detailed description on how to do this.

To get your roster into the calendar of your phone or PDA you will most likely have to sync it with the calendar program of your computer or laptop. Please consult your users manual on how to do this. On my Nokia E60 I can simply open the file and use Opties, Opslaan in agenda.
